What’s the Project Dashboard Part and How It Helps Schedule Projects
Project Dashboard is a multi-purpose tab. Managers can plan people to projects based on employee availability, skills they use/waste/lack for a profession, and part-time or full-time engagement. Besides, the Manager can store all the data about previous project schedules in the system.
- Create a project
To create a new project go to “Project Dashboard”. Under “Your Projects” section click “Create” button and follow the wizard.
2. Create a Project Allocation
After creating your project, add an Allocation Slot. Press the “Add slot” button in the project window and fill necessary info, including necessary skills and their levels.
3. What is an Allocation Template and how to create it
Suppose a particular job occurs on several projects, and you don’t want to make the same Allocation card manually. In that case, you can save Allocation as a template. For this, press the “Edit” button on the existent Allocation card and then “Save as a template.”
Note: Templates can be created only when there’s nobody placed on the Allocation card.
4. Schedule a project and identify the best in-house people for it.
When you create allocations and fill the professional slots with the candidates’ cards, you get the data on whether a candidate has enough knowledge and time for the position. In addition, project Allocations help:
- visualise your recruitment needs for the current upcoming projects,
- help understand who is doing what in the company,
- see who is available,
- plan how to swap people to optimize business costs,
- plan employee’s upskilling so that people learn what’s needed for future projects.
On the employee card, you can see their skills marked with different colors. For example, the skills in green are the skills that a person possesses and will use on the project.
The yellow skills are the skills a person possesses, but they will waste this knowledge on the given allocation.
The skills colored in red are the ones that are needed, but a candidate doesn’t possess them.
Moreover, you can see how every candidate matches the job requirements in time. If an employee gets over-allocated, a red triangle with a warning sign will pop up on the top of the allocation card.
5. EmployPlan can recommend you the best in-house person for a profession on a project.
5. Change the Status of a project
The project Status helps Admins and Managers see the current state of a project, archive, and terminate them. The projects with the status “Planned” can also be used for recruitment needs, and they help make allocations as a draft. You can change the Status of a project to “Planned”, “Ongoing”, “On-hold”, “Completed”, and “Terminated”. To do so, press the status bar and select the Status from the dropdown menu.
6. How to archive a project
Wanna get rid of a project? Archive it! It will disappear from your dashboard, so be careful!
In the Project Dashboard view you’ll find other elements for workforce planning that will simplify your management efforts.
- Bench: know and filter your in-house capacity
The Bench on the right side from the Project Dashboard shows everyone within the organisation. You can use its Search bar to find people by their names. Alternatively, apply the filter button on the right side from the Search bar to select people by their Availability, Skills and Professional Roles.
2. View the Scheduling Timeline
Scheduling Timeline is designed to visualise how people are allocated during the whole year. Take a glance at what people in your entire organisation are currently busy with. You can access the Timeline when switching the Dashboard tab in the Plan Projects view.
